AI knowledge assistants
Help staff find answers in your policies, guides and records. The assistant shows links to its sources so people can check them. It should say when it cannot find enough information to answer.

Questions about knowledge assistants
How do you use AI safely with our data?
We agree what data AI can access, keep it in UK or EU hosting where required, and never use your data to train public models.
How is this different from asking a public chatbot?
A knowledge assistant answers from your own approved documents, shows where each answer came from and respects your access permissions. Public chatbots cannot see your documents and may guess.
What is retrieval-augmented generation (RAG)?
RAG is the method most knowledge assistants use. The system first finds the most relevant passages in your documents, then asks the AI model to answer using only those passages. This makes answers more accurate and easier to check.
How much does it cost to run AI features?
Running costs depend on how often a feature is used and which model it uses. We estimate them during discovery and set up usage reporting, so there are no surprises.
Which documents can the assistant use?
Most documents that contain text, such as PDFs, Word files and web pages, including those in shared drives. We confirm which sources to include, and who can see them, during discovery.
