1. Who we are

Niletech Ltd ("we", "us") is the data controller for personal data collected through this website. We handle your data under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

2. What we collect

We collect personal data that you choose to give us, and some information about how you use this website.

When you send us a project brief, we collect:

  • your name, so we can address you properly
  • your work email and, if you give it, your phone number, so we can reply
  • your company name, if you give it, to understand your enquiry
  • what you need help with, your message and any file you attach

When you sign up for our newsletter, we collect your email address and a record of your consent.

If you accept analytics cookies, Google Analytics collects information about your visit, such as the pages you view, how long you stay, the type of device and browser you use, and your approximate location.

When you use a form protected by Google reCAPTCHA, Google collects information about your device and how you interact with the page, including your IP address.

We do not ask for special category data, such as health or biometric data. Please do not include it in a message or attachment.

When you request a call, we collect your name, email address, message and any company, phone and availability details you choose to provide.

3. How we use your data

We use your data only to:

  • reply to your enquiry
  • discuss, plan and provide the services you ask about
  • send you our newsletter, if you have signed up
  • protect our enquiry forms from spam and abuse
  • understand how people use this website so we can improve it, if you have accepted analytics cookies

We do not use your data for automated decision-making or profiling, we never sell it, and we never use it to train public AI models.

4. Lawful basis

For enquiries and project briefs, we rely on legitimate interests (Article 6(1)(f) UK GDPR). We have a legitimate interest in replying to people who contact us about our services, and we believe this is fair and does not override your rights.

To protect our enquiry forms with Google reCAPTCHA, we also rely on legitimate interests: keeping our website secure and free from spam.

If we go on to work together, we rely on the need to perform a contract (Article 6(1)(b)).

For the newsletter and Google Analytics, we rely on your consent (Article 6(1)(a)). You can withdraw it at any time: use the unsubscribe link in any email, change your cookie choices, or email us.

5. Sharing and processors

We use a small number of trusted service providers to run this website. They must keep your data safe.

  • Website hosting – stores the website and the forms you submit.
  • Google reCAPTCHA – checks that forms are sent by people, not automated bots. It is provided by Google and covered by Google's privacy policy and terms of service.
  • Google Analytics – if you accept analytics cookies, it tells us how people use the website, using pseudonymous identifiers. It is provided by Google.
  • Adobe Fonts – delivers the fonts on this website. When a page loads, your browser connects to Adobe's servers, which means Adobe receives your IP address.

We do not share your data with anyone else unless the law requires us to.

Some providers, including Google and Adobe, may process data outside the UK. When this happens, we rely on proper safeguards, such as UK adequacy regulations or the International Data Transfer Addendum to standard contractual clauses.

6. How long we keep data

We keep enquiry details for as long as we need them to deal with your enquiry, and for a reasonable time afterwards in case you get back in touch. If you become a client, we keep records for as long as the law requires.

We keep newsletter details until you unsubscribe.

Google Analytics data is kept for the retention period set in our Google Analytics account and is then deleted automatically.

We never keep your data for longer than we need it.

For enquiries and call requests, we review whether the enquiry is still active, whether follow-up is expected and whether we need the record for an agreed project or a legal obligation. Records that are no longer needed should be deleted.

7. Your rights

Under UK GDPR, you have the right to:

  • see a copy of the personal data we hold about you
  • ask us to correct data that is wrong or incomplete
  • ask us to delete your data in certain situations
  • ask us to limit how we use your data
  • receive your data in a format you can take elsewhere
  • object to how we use your data when we rely on legitimate interests
  • withdraw your consent at any time, where we rely on consent

To use any of these rights, email hello@niletech.co.uk. We will reply within one month.

8. Cookies

We use cookies that the website needs to work securely, Google reCAPTCHA to protect our forms, and Google Analytics cookies only if you accept them. Read our cookie policy for full details.

If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113. We would be grateful for the chance to put things right first, so please contact us before you go to the ICO.

We may update this policy from time to time. When we do, we will change the "Last updated" date at the top of this page.
